MEMORANDUM OF UNDERSTANDING
Do you understand that the primary purpose of “VETS WITH A MISSION” is to promote reconciliation in keeping with II Corinthians 5:18? VWAM is a Christian founded organization by Vietnam veterans and desires to be a Christian witness in conduct and character. We are asking you to represent the United States of America in the highest ideals of service and charity, to present yourself at all times as a goodwill ambassador, to create an atmosphere of trust and cooperation in the performance of humanitarian work in Southeast Asia primarily in Vietnam, Cambodia and/or Laos; and to promote positive working relationships with other organizations and NGO’s, to assist VWAM in remaining faithful to the Great Commission given in Matthew 28:18-20, and to further the healing process between the veterans of all countries involved in the war, the people of the United States of America, and the peoples of Vietnam, Cambodia, and Laos?

You may want to check with your accountant, financial or tax advisor to determine if your participation on this humanitarian trip may be tax deductible in full or part. VWAM is an IRS approved 501 (c) (3) charitable organization.
You may pay trip payments before due or more on any payment due date, if you wish. You may pay in full before any payment due date should you be prepared financially to do so. It is, however, important that you adhere to the payment schedule and make those minimum payments on time.
If you cancel for any reason the following refund schedule applies:
(1) The $100 trip deposit is non-refundable but is applied to your total trip expense should you participate. If you do not participate or the trip is canceled for any reason this $100 will be receipted to you as a charitable donation to VWAM.
(2) As of February 15, 2008 ninety percent (90%) of all moneys paid to VWAM (less the $100 non-refundable trip deposit) are refundable.
(3) As of March 15, 2008 eighty percent (80%) of all moneys paid to VWAM (less the $100 non-refundable trip deposit) are refundable.
(4) As of April 15, 2008 seventy percent (70%) of all moneys paid to VWAM (less the $100 non-refundable trip deposit) are refundable.
(5) As of May 15, 2008 sixty percent (60%) of all moneys paid to VWAM (less the $100 non-refundable trip deposit) are refundable.
(6) As of June 15, 2008 fifty percent (50%) of all moneys paid to VWAM (less the $100 non-refundable trip deposit) are refundable.
(7) As of July 15, 2008 forty percent (40%) of all moneys paid to VWAM (less the $100 non-refundable deposit) are refundable.
(8) As of August 15, 2008 there will not be a refund of any and/or all money paid to VWAM if you do not participate on the humanitarian team.
(9) In the event that you do not participate on the team trip all money paid to VWAM less any refund according to points 1-8 above will receive an appropriate charitable tax deduction receipt for a donation to VWAM in the total amount paid to VWAM.
PLEASE NOTE: If VWAM cancels or postpones the trip for any reason each team participant will receive a travel credit for a future team trip in the full amount paid to date. No refunds will be given.
VWAM has to adhere to this refund policy because of contractual obligations it must honor concerning air, hotel and ground deposits and contracts to avoid any excess charges or penalties assessed to VWAM from these air, hotel, or ground entities for postponements or cancellations.
ATTENTION: Optional Medical & Life insurance with an evacuation clause is available for an additional expense. More information will be mailed to team volunteers in the future.
PASSPORT & VISA REQUIREMENTS
You must have a valid United States of America passport to participate on this trip. If you do not have a US passport, please get one immediately! You will be required to obtain an “Entry Visa” from the Socialist Republic of Vietnam. This requires a valid US passport. VWAM will do this for you.
VWAM will forward a Vietnamese visa application to you on or about May 15, 2008. Instructions will be provided to assist you in filing out this entry visa application. The $65 entry visa application fee required by the Embassy of Vietnam is included in your trip price. Be prepared to return a completed entry visa application to VWAM no later than June 1, 2008.
When you mail the completed visa entry application to VWAM, you will need to send two passport photographs and possibly your passport.
The VWAM office or the Travel Agent will return your entry visa, your passport, and your plane ticket or itinerary approximately ten days to two weeks before the trip departure date.
INOCULATIONS & PRESCRIPTIONS
VWAM will advise if there is any requirement to take health precautions such as a malaria prescription or certain inoculations as preventative measures. A number of factors will result in this determination based on information from the Center for Disease Control (CDC) in Atlanta, the U. S. Public Health Service Office, and the American Consulate (Ho Chi Minh City) & United States of America Embassy in Vietnam (Hanoi). However, you are encouraged to discuss this matter with your personal physician to determine what is best for you.
If you are a project team member building a home or constructing a medical clinic you should have a tetanus inoculation or booster!
Suggestions concerning travel, clothing, snacks, cultural tips, packing, luggage, food, laundry service, hotel, flight schedules, fax or telephone calls to the US of A, e-mail, cameras and film, etc., and so on will be disseminated in future correspondence.
